How We Reviewed PostScan Mail

From October 5 to 9, 2026, we recorded the provider’s pricing, location and policy pages, last safe signup screens, exact support replies, public app listings, a bounded set of app reviews, and rate estimates from its shipping calculator. We refreshed material public sources on October 12. Our fixed sample contained 12 U.S. and three international addresses. We did not change the sample silently when a price or rule proved awkward.

Every U.S. address returned a deliverable match (DPV=Y) and Commercial RDI. Six returned CMRA=Y and six CMRA=N for the base street input. Those postal fields describe an address-validation response, not the legality of a specific use, operator quality, or institutional acceptance. The three international addresses were not run through U.S. Smarty.

The signup observations ended before account creation and payment. An address/plan card displayed the subscription price; the last payment step we captured did not display a complete amount due. We therefore treat annual totals as advertised upfront subscription amounts, not independently confirmed invoices. Taxes, verification charges, and any local fees shown only later remain unknown.

Support answered all 20 threads, although several replies did not settle the question asked. The app-review capture contains ten visible iOS reviews dated 2019–2025 and two older Android tablet reviews. It is too small and dated to estimate service quality across the network. We could not establish an unambiguous corporate Google listing for the planned separate sample.

Plans and fees

PostScan Mail Pricing: The Address Changes the Price

The general page advertises Starter from $10, Standard from $20, and Premium from $30 per month. These are floors, not a price for every address. The monthly plan at the sampled Chicago site cost $15 more than Wilmington for the same tier. The amounts below are displayed U.S. dollar subscription prices checked in the location pages and no-payment flows in October 2026.

Monthly and annual plan allowances

Annual amounts are paid as an annual subscription, equivalent to $8.33, $16.67, and $25.00 per month at Wilmington. The annual plans also change recipient and scan allowances, so this is more than a simple billing-frequency discount. A future renewal can be at the fees then in effect under the Terms.

Starter prices at the 12 sampled U.S. addresses

This is one address per market, not the cheapest or typical price in each city. The plan card and last safe signup flow agreed on the displayed subscription amount. The payment screen did not show a comprehensive total due, so the annual column must not be read as a verified final charge including taxes or other costs.

Three international context checks

The public cards displayed a $20 monthly / $200 annual Starter subscription in Toronto, and $10 monthly / $100 annual in both London and Mexico City. We captured these flows, but the pages used a dollar sign without an independently confirmed charged currency, local tax, or international verification cost. We therefore do not mix these figures into the U.S. dollar comparison above. Confirm the payment currency and local rules at the chosen international address.

Extra actions and the fee conflict

For an additional content scan, the general and sampled local material listed $2 per envelope for up to ten pages, then $0.25 per page. Additional recipient/user access was shown at $5 monthly. Those are useful planning figures. They do not resolve every location’s extra-item, forwarding, pickup, or storage fee.

Cost modeling

What PostScan Mail Can Cost in Real Use

A Starter address can be economical if most mail needs only an exterior preview. If you routinely read contents online, count content-scan requests before deciding that Starter is cheaper. The scenarios below keep the incoming mail within the plan allowance and each opened item to ten pages or fewer, so they do not depend on the disputed extra-item fee.

Illustrative known subscription-plus-scan subtotals for monthly billing, not observed invoices or all-in prices. At five separate scans, Starter and Standard reach the same subtotal at each of these addresses. Standard then offers the higher mail-item and recipient allowances. Taxes, extra pages, physical storage, pickup, forwarding, postage, packaging, and any location-specific fee remain outside the table.

Annual billing changes the calculation again. At Wilmington, Starter was $100 upfront and Standard $200 upfront; Standard annual listed ten included content scans per month rather than the monthly plan’s five. Paying $100 more at the outset is a separate cash commitment even when an annual effective rate looks lower. The Terms allow renewal at the fees then in effect.

Physical network

Locations, Operators, and What Smarty Can Tell Us

PostScan Mail’s Terms describe both company-provided service and independent commercial mail receiving agencies or operators. An operator must follow platform policies but runs its own day-to-day operation. The Terms also limit PostScan Mail’s responsibility for an independent operator’s physical handling. That distinction matters more than a map pin when mail is delayed, lost, or awaiting pickup.

The last safe signup step flagged Miami, Chicago, Houston, and Oklahoma City as third-party facilities. We did not identify the legal operating entity for each of the other sampled addresses. Support said primary hubs are separated from third-party stores in the directory and that mail is processed at the address to which it is sent. It did not supply a complete location-by-location legal-operator map in response to our questions.

Support said a PMB number is assigned after signup, while primary hubs may not require it on the mailing-address line if the recipient name identifies the account. The Terms say to include the box number. Follow the exact assigned format for the chosen address and ask the location before sending important mail; we did not obtain or validate an actual customer mailbox number.

Physical and digital mail

Exterior Images Are Not Included Content Scans

PostScan Mail says its facilities image the outside of an incoming envelope or package label and place it in the digital inbox. Support confirmed that this exterior image is included on Starter. Opening a letter and scanning its contents is a separate request: Starter has zero included requests, Standard monthly has five, and Premium monthly has ten. Annual Standard and Premium list ten and twenty, respectively.

The published additional-request fee is $2 per envelope up to ten pages, then $0.25 per additional page. Support described an optional automation setting that can create an open-and-scan request when an item arrives; it said the setting is off by default. Automation changes when a request is made, not whether the request is billable under your plan. We did not see that switch inside an authenticated account.

The provider’s public feature pages say the resulting files can be viewed, downloaded, and acted on through the account. Those are descriptions of the offered workflow. We have no physical item or digital file with which to evaluate scan sharpness, privacy of opening, turnaround time, or correct item matching.

Physical forwarding

Mail Forwarding, Packages, and 12 Public Rate Estimates

The public shipping calculator is a genuine pre-purchase advantage: it lets a visitor select an origin and destination and request carrier-rate estimates without opening an account. We ran a fixed 12-case matrix on October 6, 2026. It covered Wilmington, Miami, and Los Angeles; a one-pound envelope and five-pound parcel; and Chicago or London as destination. The calculator accepted weight but did not require package dimensions.

Lowest rate displayed in each captured case, not an actual shipping purchase or a current quote for your package. Chicago was entered as IL 60601 and London as SW1A 1AA. The tool did not take the recorded illustrative dimensions. Domestic and international services differ; the identical London figures across three origins should not be interpreted as a guaranteed origin-independent tariff.

Support described forwarding handling as $2 for the first item plus $0.50 for each additional item in one consolidated shipment, then the carrier price. It also said packing, insurance, fuel, customs, and other applicable charges can increase the final cost. Some location pages display another starred handling range. We cannot resolve that conflict with a calculator result, so we do not add one “all-in” number to the rate table.

For a real shipment, confirm weight, measured dimensions, destination, carrier, local handling, materials, insurance, customs and duties, and whether the facility can consolidate the items involved. A service listing is not a promise that every carrier will return a rate for every route.

Time-sensitive fees

Storage and Local Pickup: Read the Chosen Location’s Rules

The storage documents are internally inconsistent. The general pricing table says envelopes have 14 free days on a monthly plan or 30 on an annual plan; packages have three or seven free days, respectively. Support repeated those term-specific periods and called them company-wide. Yet the help article and features page say 30 days for mail and seven for packages without the monthly-plan exception. Miami’s signup fee popup also listed 30 and seven days. We cannot identify which rule would appear on an actual monthly invoice at every facility.

The shortest published period is the safer planning assumption until the selected site confirms its applicable rule in writing. We did not accumulate storage charges or obtain an invoice.

Pickup varies too. The general pricing page says most sites offer it free, but support said some third-party stores charge. It confirmed free pickup at the sampled Wilmington address and gave weekday hours of 9 a.m.–4:30 p.m. for that site. The Miami popup listed a $2 fee for letters or packages and $5 for oversized packages. We did not visit a location or test the identity checks for pickup.

Optional workflow

AI Mail Summaries and Developer API

PostScan Mail markets AI summaries for scanned documents and lists ten summary requests per month before a $0.25 fee for another request; support confirmed that quantity. Another “all plans include” line says summaries are free for documents up to ten pages, without explaining how longer documents interact with the monthly request allowance. A summary depends on content that was already scanned, so a Starter buyer should budget for the open-and-scan request first. We did not feed a document into the feature or measure the accuracy of a generated summary. Dates, payment amounts, or action items in sensitive mail should be checked against the original.

The public pricing page lists developer API access among plan features, while the API material focuses on larger mailroom integrations. We reviewed public descriptions, not credentials, endpoints, permissions, rate limits, production availability, or the cost of an actual integration. Ask support about the selected plan’s API entitlement before using it as the deciding factor.

Renter access

PostScan Mail Apps and the Interface We Could See

The renter app is distinct from the PostScan Mail Operator app used by mail centers. The U.S. Apple listing for PostScan Mail: Virtual Mailbox showed 4.7/5 from 875 ratings when checked on October 12. The Android renter listing showed a 4.4/5 headline score and 10K+ downloads; review totals and visible reviews differed by device filter. Store ratings change and do not measure a particular facility’s physical handling.

We reviewed public screenshots and feature descriptions, including provider-published views of a mail dashboard and address controls. They explain what the interface is intended to show, but are not evidence that we signed in, completed a request, or tested notifications. We cannot rate app stability, sync, billing controls, scan legibility, or workflow speed from a listing.

Getting started

Signup, USPS Form 1583, and Address Use

For a U.S. virtual mailbox, choose the exact location and tier, create the account, and complete the identity and USPS Form 1583 process before relying on it for mail. PostScan Mail’s public Form 1583 guidance explains the authorization and identification requirements. The Terms call for the completed form within 30 days and specify an assigned box number for addressing. Requirements for an international location may differ; our U.S. Smarty checks do not cover the three international samples.

Support said a PMB number is assigned at signup and that subscription billing starts on the subscription date, even if Form 1583 has not yet been approved. It described an account closure and refund if required documents are not furnished, but we did not run that process or establish the amount that would actually be returned. We stopped before submitting payment or identity documents and cannot report an approval time or a usable date for the mailbox.

The address is a mail-receipt tool with use-case limits. The Terms and support do not guarantee acceptance by banks, licensing bodies, government agencies, or another private platform. Support specifically said Google Business Profile use is not contractually allowed. A help article discusses a conditional remedy when an LLC filing rejects the address, but it does not create a general guarantee for every filing or institution. Check the receiving organization’s own requirements and the chosen facility’s assigned address format before putting it on important records.

Support asserted that locations can handle signature-required deliveries, while the Terms do not guarantee all locations can accept all signature-required items. Verify the specific carrier and facility for any time-sensitive package. Do not infer universal acceptance from the sampled commercial DPV results.

Sensitive correspondence

Security, Privacy, and the HIPAA Add-On

PostScan Mail describes account controls and document handling on its security page and collection and sharing practices in its privacy policy. Reading those pages does not validate a facility’s physical controls, an employee’s access to a particular envelope, the security of an actual scan, or the behavior of a third-party operator. The independent-operator distinction matters for sensitive mail as well as for delays and fees.

The pricing page advertises an optional HIPAA plan at $25 per month billed annually, plus $0.50 per item. That is an additional $300 annual subscription commitment before item fees. Support described a Business Associate Agreement as available only for first-party locations. We did not obtain a signed BAA, determine which sampled address qualifies, audit controls, or verify a covered workflow. A healthcare buyer should request the location-specific agreement and a precise accounting of who receives, opens, scans, and stores protected information before subscribing.

Auto-scanning and AI summaries expose more document contents to the workflow than unopened-envelope previews. Confirm permissions, retention, operator role, and any applicable contractual safeguards for the documents you expect to receive. Our evidence supports the provider’s published features and policy language, not an independent security certification.

After subscribing

Support, Refunds, Cancellation, and Mail After Closure

We submitted 20 mapped questions through support from October 5 to 8. All received a response, but response count alone does not measure resolution quality. Replies clarified exterior versus content scans, pickup at Wilmington, the summary allowance, billing start, and the account-close control. They did not fully resolve operator responsibility, every local handling fee, or conflicting storage and refund text. We did not time a live urgent case or test escalation for a missing item.

Refunds are conditional

The Terms leave refunds to PostScan Mail’s discretion and generally exclude used services, incurred charges, shipping, government costs, and third-party fees. A help article presents a narrower, conditional 30-day remedy if the address cannot be used to file an LLC or for another stated purpose. Support said unused accounts are generally considered case by case and described prorating unused annual time after closure as something that “usually” happens. Its reply also mixed 30-day language in a way that did not define a clean universal window. None of these sources supports an unconditional money-back promise or a guaranteed annual proration.

Closing the account does not forward remaining mail automatically

The cancellation help article points to a Close Account control; support said closing stops automatic renewal immediately. That does not establish that the unused subscription is refunded or that items in the facility are automatically forwarded. The U.S. Terms discuss holding USPS mail at a CMRA for up to six months after termination and describe return or forwarding on written request and at the customer’s expense. Support described a similar six-month period at primary U.S. locations but said third-party stores may differ and no automatic mail notification should be assumed. Arrange outstanding scans, pickup, forwarding, and a new correspondence address before closing.

Public user signals

What the App Reviews Do and Do Not Show

The October 12 Apple renter-app listing showed a 4.7/5 aggregate from 875 ratings. Google Play displayed a 4.4/5 headline and 10K+ downloads. A rating is a store-level signal for an app, not a measured delivery rate or a rating of the address you select. Device and region filters can change which Android reviews appear; the workbook’s Android sample was limited to two visible tablet reviews from 2019 and 2021.

Our ten captured iOS review texts span 2019 to 2025, and the displayed sequence was not actually chronological despite the collection label “Newest visible first.” Some described helpful scanning, forwarding, or local staff; others described notification gaps, confusing charges, support friction, or a location change. These are individual reports, sometimes mixing software, PostScan Mail support, a local operator, and a carrier. We did not independently verify an individual account history or infer a network-wide incident rate. One older positive review refers to an allowance that differs from the current Starter plan, a reminder not to use historical anecdotes as current pricing.

A planned corporate Google review sample did not yield an unambiguous corporate listing in the research record. We therefore exclude it rather than substitute reviews for a similarly named facility or assert that no listing exists anywhere. Read recent reviews of the exact location as an additional screening step, with the same caution about attribution and sample bias.

Final verdict

Should You Choose PostScan Mail?

PostScan Mail is a reasonable shortlist candidate when you want a particular local address, package handling, and access to a public carrier-rate estimator. Its $10 Wilmington Starter plan can be enough for exterior previews and infrequent content scans. The $25 Chicago Starter plan shows why “starts at $10” is a poor substitute for choosing the actual address.

Choose Standard over Starter when you expect to request five content scans in a month at the sampled Wilmington, Miami, or Chicago sites: the known subscription-plus-scan subtotals meet, and Standard has higher included item and recipient limits. That arithmetic excludes disputed overage and forwarding fees, taxes, storage, and actual postage. An annual plan also requires an upfront payment and can have different included allowances.

The strongest caution is about predictability. General fees and starred local fees conflict; storage periods disagree across public pages; third-party operators can change physical handling and pickup; the captured payment step did not show a complete total due; and refund language does not add up to an unconditional guarantee. These points can be checked with the specific facility and a written quote before purchasing. We cannot claim how well a real envelope would be scanned, forwarded, or protected, because we did not complete those actions.
